Club Officer Elections
When a Toastmasters club elects its officers, when their terms run, and how the results reach World Headquarters.
How often a club elects its officers depends on how often it meets. A club that meets weekly may elect annually or semiannually; if it elects semiannually, elections are held at the first meeting in May and again at the first meeting in November. A club that meets less frequently than weekly must elect annually, with the elections in May.
Annual terms of office run from July 1 through June 30. Semiannual terms run from July 1 through December 31 and from January 1 through June 30. Toastmasters states plainly that holding elections at any other time conflicts with the Club Constitution for Clubs of Toastmasters International and the Bylaws of Toastmasters International.
A quorum — a majority of the active members — is needed to elect officers. Members must be in good standing and present to vote, and proxies and absentee ballots are not allowed at the club level.
Once a club has elected, its president or secretary submits the officers' names and contact information to World Headquarters through Club Central. The deadline is June 30 for annual elections, and June 30 and December 31 for semiannual elections.
